Administration - Users
In the tab Users under the Admin page, users can be created and administrated.
User overview
A list of the company's users is displayed in the tab. To quickly find a specific user, switch to subtab Search and search for the user.
The user list provides the following information:
Name of the user
Username (used for login)
Type of user
When the user was created
Last time user logged in
User types
There are four types of users:
Admin - Has access to the Admin tab and can manage users, permissions, and work groups. This type of user always has access to the main company and all of its work groups. Read more about Work Groups.
User - Has only the access to which it has been assigned by an Admin.
API - Only used for API requests.
Backup - Always authenticated using passwords and only possible to create on a domain that have integration with external identity provider.
Add or edit users
Click on button Add User or Edit for an existing user.
Admin, User or Backup
Insert Username, the person's email address is recommended.
Choose User Type and select Add User
Fill in the user information.
User type - choose user type User (Admin only if the user should be able to administrate the users of the company).
First name - the user's first name.
Last name - the user's last name.
Phone number - the user's phone number.
More options - Provides additional options, expand below to see details.
Under Permissions, suitable Permission Groups are assigned for the user. Read more about how to set up Permission Groups in the article Permissions.
Under Work Groups
Check the box Access to all data in the company to give the user access to the main company.
Check the box for each work group the user is supposed to get access to.
Don't forget to save! Click the button Save User.
Send invitation
In order for the new user to be able to create a password and login to the portal, an invitation must be sent. Select the desired language (Swedish or English) and click the Send invitation button.
The new user will receive an email with instructions for creating a password for their user (if the email can't be found, it might have be sorted as junk mail).
Impersonate
To verify that an user has suitable access, the feature Impersonate can be used to simulate the user’s exact view and interface experience. Click on the button Impersonate next to the user to activate the impersonate mode. When done, click on Stop Impersonating in the upper right corner.
API
Insert Username
Choose User Type and click Add User
You will navigate to the edit page for an API user
General
Click pen icon to open General information for edit and fill in the description and assign tags for the API user (optional)
Map to Services
Click pen icon to open Map to Services for edit and map API user to service accounts
SMS Account - Account for sending SMS and is mandatory when utilizing the SMS API. Creation of a new SMS account is done by sending a request to support@viatel.se..
Match Account - Account for address lookups and is mandatory when utilizing the Address API. Creation of a new Match account is done by sending a request to support@viatel.se.
Manage Password
Set a new password (basic auth) by clicking Manage and Save.
Auth Token
Create a new Auth token by clicking Add, choose validity period and click Create Auth Token.
Copy the auth token by clicking Copy. Remember to store the auth token safely.
The auth token can be used for generating an access token through the Auth API. See Viatel API Reference for more information.
Under Permissions, suitable Permission Groups can be assigned to the API user. Read more about how to set up Permission Groups in the article Permissions.
Don't forget to save! Click the button Save.
User Inactivity Settings
The User Inactivity Settings section, found under the Settings tab on the Users page, allows administrators to configure how user accounts are marked as inactive, removed after inactivity, and who should be notified about these events. Affected users will automatically be notified about any changes to their account status, while additional personnel can be added as notification recipients to receive these updates as well.
These settings only apply to User and Admin user types. API and Backup accounts are not affected by these configurations.
You can:
Configure the inactivity period before accounts are marked as inactive.
Configure the retention period for inactive accounts before removal.
Manage notification recipients by adding and removing email addresses.
Don't forget to save, by clicking the button Save.
